Terms of Service

These Terms of Service ("Terms") govern your access to and use of Ping (the "Service"). In these Terms, "Ping", "we", "us", and "our" mean the operator of the Service, and "you" means the company and the people using the Service on its behalf. By creating an account, configuring a workspace, or otherwise using the Service, you agree to these Terms. If you are accepting on behalf of a company, you confirm you are authorized to bind that company.
1. Acceptance of these Terms
By accessing or using the Service you agree to be bound by these Terms and by our Privacy Policy, which is incorporated by reference. If you do not agree, do not use the Service.
The Service may include trial, preview, complimentary, and paid access. Features may change or be withdrawn, and these Terms apply to every access type.
2. The Service
Ping lets a company receive and fulfil internal office service requests — for example coffee, tea, water, cleaning, or guest hospitality — submitted by employees and visitors via a room QR code or a company link, and routed to a service team on a live board.
Each company operates in its own isolated workspace, with its own floors, rooms, service catalog, team members, branding, and requests.
3. Eligibility and accounts
The Service is intended for use by organizations and the adults who work for or with them. A company account is created and managed by an administrator who configures the workspace and adds team members.
You are responsible for the accuracy of the information you provide, for keeping login credentials confidential, and for all activity that occurs under your account. Notify us promptly of any unauthorized use.
4. Your content and customer data
You retain ownership of the data, names, contact details, logos, and other content you add to the Service ("Customer Data"). You grant us a limited, worldwide license to host, process, and display Customer Data solely to operate and provide the Service to you.
As between you and us, you are the controller of any personal data you add about your employees, team members, and visitors. You are responsible for having a lawful basis to add and process that data and for providing any notices or obtaining any consents required where you operate. We act as your processor for that data, as described in the Privacy Policy.
5. Acceptable use
You agree not to misuse the Service, including (without limitation): submitting unlawful, harmful, infringing, or abusive content; uploading personal data you are not permitted to process; attempting to access another company's data; probing, scanning, or disrupting the Service or its infrastructure; circumventing rate limits or security controls; or reverse-engineering the Service except to the extent that restriction is prohibited by law.
6. Service availability and changes
The Service is provided on an "as is" and "as available" basis. We may add, change, suspend, or remove features, and we may perform maintenance that temporarily limits availability. No specific uptime or service level is promised unless separately agreed in writing.
We will make reasonable efforts to give notice of material changes that significantly reduce core functionality.
7. Fees
New companies may receive a no-card free trial for the duration shown in the current public offer. Subscribing before the trial ends causes the trial to end and the selected subscription to be charged through Stripe when payment succeeds.
Subscription prices and billing periods are displayed before Checkout and may change for new subscribers. Existing subscriptions retain their applicable price revision unless the customer changes to the paired billing cadence under that revision. Subscriptions renew automatically until cancellation is scheduled for the end of the paid billing period.
We do not issue automatic refunds or prorated credits. Exceptional refunds may be handled manually. If a renewal fails, application access may continue during the displayed grace period; after access expires, new requests are blocked while administration and existing requests remain available.
8. Intellectual property
The Service — including its software, design, text, and other content (excluding Customer Data and your brand assets) — is owned by Ping or its licensors and is protected by applicable intellectual-property laws. We grant you a limited, non-exclusive, non-transferable right to use the Service during the term, and reserve all rights not expressly granted.
If you send us feedback or suggestions, you grant us a perpetual, royalty-free license to use them to improve the Service, with no obligation to you.
9. Privacy
Your use of the Service is also governed by our Privacy Policy, which explains what personal data we process, why, and how. By using the Service you acknowledge that policy.
10. Disclaimers and warranties
To the maximum extent permitted by law, the Service is provided without warranties of any kind, whether express, implied, or statutory, including any implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Service will be uninterrupted, error-free, or secure, or that requests will always be delivered or fulfilled.
11. Limitation of liability
To the maximum extent permitted by law, we will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of profits, revenue, data, or goodwill, arising out of or related to your use of (or inability to use) the Service. Our total aggregate liability for any claim relating to the Service will not exceed the amount you paid us for the Service in the twelve months before the event giving rise to the claim — and, where the Service was provided free of charge, will not exceed a nominal amount.
12. Indemnification
You agree to indemnify and hold us harmless from claims, damages, and reasonable expenses arising from Customer Data you add, your use of the Service in breach of these Terms, or your violation of any law or third-party right.
13. Suspension and termination
You may stop using the Service and close your workspace at any time. We may suspend or terminate access if these Terms are violated, if required to protect the Service, other users, or third parties, or if continuing would expose us to legal risk.
On termination, your right to use the Service ends. We will make Customer Data available for a limited period where reasonably practicable, after which it may be deleted in line with the Privacy Policy.
14. Governing law and disputes
These Terms are governed by the applicable laws of the jurisdiction in which the operator of the Service is established, without regard to its conflict-of-law rules. Where mandatory consumer-protection or data-protection laws of your country grant you rights that cannot be waived, nothing in these Terms limits those rights. The parties will try in good faith to resolve any dispute informally before pursuing other remedies.
15. Changes to these Terms
We may update these Terms from time to time. We will revise the "last updated" date below and, for material changes, take reasonable steps to notify you. Your continued use of the Service after changes take effect means you accept the updated Terms.
